Using SignAndGo

Help centre: common tasks.

This page collects the tasks people ask about most, written as short steps, plus the fixes for the snags that come up once envelopes are in the wild. For quick yes-or-no answers, the questions page is faster. Inside the app, the assistant can also talk you through any of these while you work.

Send your first envelope

Five steps take you from a file on your computer to an envelope in someone's inbox.

  • Start a new envelope and upload your PDF or Word file. Add more documents if they belong together.
  • Add each person by name and email address.
  • Place their fields on the page: signature, initials, name, date, text, tick box, Yes/No choice or file upload. Each field belongs to one person.
  • Choose whether people sign in order or all at once, and add an approver or copy people in if you need to.
  • Write a short message, or have SignAndGo help you draft one, and send.

Try it on yourself first

Send your very first one to a colleague or to yourself. Seeing the email and signing page from the other side takes two minutes and answers most of the questions your clients will ask. The how it works page shows the same path with what signers see at each step.

Save and reuse a template

Set up the documents and fields once, but give each signer a role such as Tenant or Client instead of a real name. Save it as a template. Next time, pick the template, fill in the real names and emails against each role, and send. Templates are shared with your workspace unless you mark them private.

Control who goes first

Choose an ordered envelope when one person must finish before the next starts, for example a customer signs and then your director countersigns. Choose all at once when order does not matter, such as three trustees signing the same minute.

To have someone check a document before it reaches signers, add them as an approver at the start. To have them give final approval after signing, put the approver at the end. For a document people only need to confirm they have received, such as a revised house policy, send it as review only.

Chase a slow signer

Open the envelope to see who has opened it and who has signed. Send a reminder to anyone still outstanding, or set automatic reminders when you send so the follow-up happens without you. In an ordered envelope, only the person whose turn it is needs reminding.

  • Opened but not signed: a reminder with a short personal note usually works.
  • Not opened after a day or two: check the email address first, then ask the person to look in their junk folder.

Fix the common snags

  • Wrong email address: send a fresh envelope to the correct address. If the first one reached someone else, let them know it was not meant for them.
  • The signer declined: read their reason on the envelope. The envelope has stopped, so correct the document if needed and send a new envelope.
  • The document changed before everyone signed: send the corrected version as a new envelope, and say in your message that it replaces the earlier one.
  • The wrong person signed: the audit trail shows the name, email address, time and IP address for each signature, so you can see what happened. Send a fresh envelope to the right person.
  • A signer cannot find the right page: each field they need is marked, and the next one is a click away. Telling them how many documents are in the envelope in your message helps.

Find a finished document and check it

Completed envelopes keep the signed documents, the audit trail and the completion certificate together. Each signed document carries a verification ID, a short code beginning SAG. Anyone holding the PDF can enter it on the online check, with no account, and see the document's title, whether signing is complete and who signed, which helps when a bank, landlord or other third party asks whether a copy is genuine.

Add your team

An admin invites colleagues to the workspace and gives each person a role. Once they join, they can use shared templates and see envelopes in the workspace. Ask each person to turn on two-step sign-in. When someone leaves, an admin removes them so their access ends.

Frequently asked questions

Can I put two documents in one envelope?
Yes. Upload as many PDF or Word files as belong together and they travel as one envelope.
Can I copy someone in who does not need to sign?
Yes. Add them as a copy recipient and they receive the finished documents without any fields of their own.
I sent it to the wrong address. What now?
Send a fresh envelope to the right address, and let the person who received the first one know it was sent in error.
Where do I see why someone declined?
On the envelope. Their reason shows there, and the envelope stops until you send a new one.
Where is the in-app assistant?
It is available inside SignAndGo whenever you are working, and answers how-to questions.
