Sending an employment agreement for signature.
A new starter's agreement usually travels with a position description, a policy acknowledgement and a form or two. Here is how to send the whole pack in one envelope, get it back quickly, and keep a clean record of who signed what.
Put the whole pack in one envelope
Upload the agreement and everything that goes with it, such as the position description, your code of conduct and any bank or tax forms you collect. SignAndGo keeps them together as one envelope, so the new starter opens one link and works through each document in turn.
If you hire often, save the pack as a template. Each time, you only change the person's name and start date, and the fields are already where they need to be.
Place the fields each person fills in
Give the new starter a signature and date on the agreement, initials on each schedule, and text fields for details you need from them, such as an emergency contact or IRD number. Mark the fields they must complete so the envelope can't be finished with gaps.
If you need a copy of something, like a visa or a photo ID, add an upload field and they can attach it as they go.
- Signature and date on the agreement itself.
- Initials on each schedule or policy page.
- Text fields for personal details you collect at the start.
- An upload field for documents you need to sight.
Set the signing order
Most teams have the new starter sign first, then the hiring manager countersigns. Choose an ordered envelope and SignAndGo sends to the manager only once the new starter has finished. If someone in HR needs to check the pack before it goes out, add them as an approver at the start.
Copy in payroll or your HR inbox so they receive the finished documents without needing a field of their own.
What the new starter sees
They receive an email with your message and a button to open the documents. No account and no download: it works on a phone, which matters when someone is reading their offer on the way home. Each field they need is marked, and the next one is a click away.
If they have a question about a clause, they can decline with a note instead of signing, and you see the reason straight away.
After everyone has signed
Each person receives the completed documents by email, with a completion certificate. The envelope keeps its audit trail: every view and signature, with names, email addresses, times and IP addresses. If you connect Xero, the signed agreement can be filed there for you.
Need to chase someone? Send a reminder from the envelope, or set reminders to go out on their own.
Common questions
- Can the new starter sign on their phone?
- Yes. The signing link opens in any browser on a phone, tablet or computer, with nothing to install.
- Can I reuse the same pack for the next hire?
- Yes. Save it as a template with a role for each signer, and the fields are already placed next time.
- Who gets the finished copy?
- Everyone who signed, plus anyone you copied in, such as payroll.
