Verification IDs: how anyone can check a signed document.
A signed PDF travels. It gets emailed to a bank, attached to a loan application, printed for a board pack or forwarded to an insurer. The verification ID lets whoever ends up holding it check, in a few seconds, that it came from a real SignAndGo signing.
Where to find the ID
Each signed document carries a verification ID, printed with the signatures. It is a short code that begins with SAG, followed by a mix of letters and numbers, and it appears beside a note pointing the reader to the online check.
How the check works
Anyone can check it, with no account and no login. They visit the verification page, type in the ID, and see the record for that document. They do not need to know you, use SignAndGo or contact your office.
- The document's title and whether its signing is complete.
- The people who signed, with email addresses partly hidden.
- Whether the document matches the record of its signing.
Who finds it useful
It is especially handy when a document has passed through several hands. A PDF forwarded three times looks the same as the original; the ID lets the last person in the chain check it without ringing round the first.
Lenders and brokers receiving a signed agreement as part of an application. Landlords checking a signed lease from a tenant's company. A new director reading historical resolutions. An accountant reviewing a client's signed contracts at year end. In each case, the person holding the document can answer the question of where it came from on their own.
When the check does not match
If an ID returns no record, or the details do not match the document in front of you, treat it as a reason to ask questions. It may be a typo in the ID, so try again carefully. If it still does not match, contact the business that sent the document and ask them to resend it from SignAndGo, or to confirm the details from their audit trail.
Sending documents people can check
You do not need to do anything to switch the ID on: every signed document gets one. If a client asks how they can be sure a document is genuine, point them to the ID and the online check, and keep your audit trail for the fuller story of who viewed and signed it, and when.
Common questions
- Do I need an account to check an ID?
- No. Anyone can check a verification ID online.
- Does the check show the document itself?
- It shows the record of the signing, such as its title, status and signers, not the document's contents.
- Can I find the ID if I have lost the PDF?
- Open the completed envelope in SignAndGo and download the signed document again; the ID is on it.
- Does every signed document get an ID?
- Yes. It is added to each signed document automatically.
