Admin controls: running a SignAndGo workspace well.
Once more than one person sends documents, someone needs to look after the workspace: who is in it, what they can do, which templates are the current ones, and how to answer questions when a client rings about an old envelope. That is the admin's job.
Admins and roles
A workspace has admins who manage its members. Admins add people when they join, give each one a role that sets what they can do, and remove them when they leave. Keep the admin group small: two people is usually enough, so there is cover when one is away.
When someone leaves, removing them from the workspace should be part of the exit checklist, alongside returning keys and cards.
Keeping templates under control
Templates are shared with the workspace by default, which is what makes a team consistent. The risk is drift: three versions of the same agreement, each slightly different. Agree that one person owns each key template, and have others keep their experiments private until they are ready to share.
- Name templates clearly, with the document and its purpose.
- Retire an old version once its replacement is shared.
- Use private templates for drafts and personal letters.
Account protection for the team
Each person can turn on two-step sign-in, which asks for a code from their phone at login. Admins should switch it on first and then ask the rest of the team to follow, starting with anyone who sends documents carrying personal details.
Using the audit trail to answer questions
Sooner or later someone asks when a document was sent, whether the client opened it, or who signed first. The audit trail answers each of these without guesswork: every view and signature with names, email addresses, times and IP addresses, kept with the envelope.
Keep a simple habit: when a question comes in about an old document, answer it from the envelope rather than from memory. The record is more reliable than anyone's recollection of a busy week.
Status tracking does the day-to-day work. A quick look across envelopes shows which are waiting, on whom, and for how long, so an admin can spot the contracts that need a reminder before a deadline slips.
One login across the suite
If your team also uses ShareAndGo or BookAndGo, one login carries across all three. That makes the leaving process simpler too: there is one account to deal with, not three.
