Completion certificates: what you get when everyone has signed.
The moment the last signature goes on, an envelope turns from a job in progress into a record. Knowing what that record holds, and where each part lives, saves a lot of searching later.
What lands in everyone's inbox
Every signer, and everyone you copied in, receives the finished document by email. It is the same document they worked through, now with every signature, initial, date and filled field in place, and a completion certificate with it.
What the certificate summarises
Think of it as the cover sheet that answers the first questions anyone asks about a signed document: who, when, and how to check it. It is written to be read by someone who has never heard of SignAndGo, such as a bank officer or a new business partner.
The completion certificate is a plain summary of the signing, kept with the document so a reader does not need to open SignAndGo to understand it.
- The document and the envelope it belonged to.
- Each person who signed, with their name and email address.
- When each of them signed.
- The verification ID for the signed document.
Where the full audit trail lives
The certificate is the summary; the audit trail is the detail. Every view and every signature is recorded against the envelope, with names, email addresses, times and IP addresses. Open the envelope in SignAndGo to see it. That is where you go when the question is not just who signed, but when the document was first opened, or whether a reminder was ever seen.
Review-only envelopes get the right wording
If you sent something for review only, nobody signed it, and the certificate does not pretend otherwise. It records that each person acknowledged receipt, which matters when you send policies or notices rather than agreements.
Filing the finished pack
Decide as a team where the official copy lives, and write it down. Some keep the email in a shared inbox, some rely on Xero, and some simply search SignAndGo. Any of these works; what causes trouble is everyone doing something different.
Many teams keep the email as their copy and leave it there. If you connect Xero and turn on automatic filing, the completed document is filed into Xero as well. Either way the envelope in SignAndGo keeps the document, the certificate and the audit trail together, so one search finds all three.
Common questions
- Who receives the completion certificate?
- Everyone who signed, plus anyone copied in on the envelope.
- Is the audit trail inside the certificate?
- The certificate summarises the signing. The full audit trail of views and signatures stays with the envelope in SignAndGo.
- Can I get the certificate again later?
- Yes. Open the completed envelope in SignAndGo and the finished document and its certificate are there with the audit trail.
- Can someone outside my team check the document?
- Yes. Give them the verification ID and they can check it online.
