Sending a residential tenancy agreement for signature.
Once a property manager has chosen tenants, there is a race to get the agreement signed before the move-in date. The difficulty is that a flat of four people means four signatures, often from four different places. Here is how to send your own agreement so every tenant signs, wherever they are.
Gather the documents for the tenancy
Use the tenancy agreement your business already sends, along with any attachments that belong to it. Common ones include house rules or body corporate rules, a chattels list, and a property inspection report the tenants initial at the start of the tenancy.
Healthy homes statements and insulation statements are often part of the paperwork too. Put them in the same envelope so tenants see the full set before they sign.
Every tenant signs, separately
Add each tenant as their own signer, with their own email address. SignAndGo sends each person a separate link, so one tenant cannot sign for the others, and the record shows each person signing in their own name. Let them sign all at once; the agreement completes when the last tenant finishes.
- Signature, name and date for each tenant.
- Initials on the chattels list and on each page of the inspection report.
- Text fields for a phone number and an address for service.
- An upload field for photo ID, if your process asks for it.
The landlord or manager signs last
Put the landlord, or the property manager signing for them, at the end of an ordered envelope. They sign only after every tenant is done, which means the landlord never commits to a tenancy that one flatmate has not agreed to. If an owner wants to see the paperwork first, add them as an approver before the tenants receive it.
Questions before signing
Tenants signing for the first time often have questions. Switching on document summaries gives them a plain-language overview of the document before they sign. If something is wrong, such as a misspelt name or the wrong start date, a tenant can decline with a note, and you can fix the document and send it again instead of discovering the error at move-in.
Keeping the finished agreement
Each tenant and the landlord receive the signed agreement and its completion certificate by email. The envelope keeps a timeline of who opened it, who signed and when, which helps when a question comes up months into the tenancy about who agreed to what. Anything you do after signing, such as dealing with the bond, happens outside SignAndGo in your usual way.
Common questions
- Can all four flatmates sign the same agreement?
- Yes. Add each as a signer with their own email address, and each gets a separate link.
- Can tenants initial the inspection report too?
- Yes. Put the report in the same envelope and add initials fields on each page for each tenant.
- Does SignAndGo lodge the bond?
- No. SignAndGo handles signing the agreement. Bond and anything else after signing are done through your usual process.
