Setting up a team workspace.
Once more than one person sends documents, the questions change. Who can see which envelopes, who maintains the templates, and who decides when someone joins or leaves? A SignAndGo workspace answers those in one place, so a growing team does not end up with five versions of the same contract and nobody sure which is current.
Admins and the people they manage
Every workspace has at least one admin. Admins invite colleagues, give each person a role and manage who can do what. In a practice of six, that might be the practice manager and one partner. In a larger organisation, it is usually whoever already looks after systems access.
When someone leaves, an admin removes them from the workspace. Plan that step into your existing exit checklist alongside email and payroll, so access ends on the same day.
Templates the whole team can rely on
A template holds the documents, the fields and a role for each signer, such as Client and Director. When you save one, it is shared with the workspace unless you mark it private. Shared templates are how a team keeps one approved version of its terms of trade or engagement letter, rather than everyone working from an old copy on their desktop.
Private templates suit the drafts a person is still refining, or documents only they send. When the draft is ready, share it.
- Agree who owns each shared template and who may change it.
- Name templates clearly, for example "Engagement letter, individual clients".
- Retire an old template once its replacement is shared, so nobody picks the wrong one.
Seeing the team's envelopes
Working in one workspace means envelopes are not locked inside one person's inbox. If the person who sent a lease is away, a colleague can check its status and send a reminder instead of waiting for them to come back. The audit trail stays with the envelope whoever is looking at it.
Account protection
Each person can turn on two-step sign-in for extra protection on their account. For anyone who sends contracts on the firm's behalf, it is worth making that a team habit. Signers are unaffected: they still open a secure link and need no account.
One login across MyAndGo
SignAndGo is part of the MyAndGo suite. The same login takes your team to ShareAndGo for secure data rooms and BookAndGo for online booking, so a firm using more than one app manages one set of logins, not three.
Common questions
- Can a template be kept to myself?
- Yes. Mark it private and only you see it. Otherwise templates are shared with the workspace.
- Who can invite new people?
- Workspace admins invite colleagues and manage what each person can do.
- Can a colleague follow up on my envelope while I am away?
- Yes. Envelopes live in the workspace, so a colleague can check where one is up to and send a reminder.
