E-signing across a construction job.
A building job produces signatures at every stage, from the client accepting a quote to the final handover. This overview walks through a typical project for a New Zealand builder or trade business and shows where SignAndGo fits. The detailed workflows for contracts, subcontractor packs and variations each have their own guide.
Before work starts
The first signature is usually on your quote or estimate. Send it with your terms of trade and ask the client to initial each page and sign the acceptance. A tick box for a deposit invoice request, or a Yes/No choice for optional extras, gets you a clear answer in one go.
Larger jobs then move to a full building contract, covered in our construction contract guide.
Bringing people onto site
Each subcontractor, labour-hire worker and new employee brings paperwork: agreements, site rules, induction acknowledgements and contact details. Grouping these into a standard pack per role means nobody turns up on site without the paper done. Our subcontractor pack guide sets this out step by step.
While the job runs
Changes and progress claims are where delays cost money. A variation sitting unsigned in someone's inbox can hold up materials, and a progress claim nobody has acknowledged makes cash flow harder to plan. Track every envelope in one list, set automatic reminders, and see at a glance which client has not opened what.
- Variation orders for client approval.
- Progress claims sent to the client or main contractor.
- Supplier credit applications and account forms.
- Plant hire agreements and equipment sign-outs.
At handover
Practical completion, defect lists and handover packs can go out together. Send the handover information review-only so the owner confirms receipt, and ask for signatures only on the documents that need them. Copy in your office so the completed set lands with whoever closes the job file.
Running it from the office and the ute
Project managers send from a laptop, site supervisors check status on a phone, and clients sign on whatever they have. Shared templates keep every project manager using the same documents, and if your accounts run through Xero, signed documents can be filed there automatically.
Office staff can prepare envelopes for a project manager to check, by adding that manager as an approver, so the person who knows the job confirms the paperwork before a client ever sees it.
Common questions
- Can a client sign a quote on site?
- Yes. Send the envelope to their email and they can open it and sign on their phone while you are there.
- Can several project managers share templates?
- Yes. Templates are shared across the workspace unless someone marks one private.
- Can I see every open job's paperwork in one place?
- Yes. The envelope list shows the status of everything you have sent.
