Signing a construction contract electronically.
A building contract is rarely one document. It is the agreement, the general conditions, the specification, drawings, a schedule of prime cost items and often a payment schedule. This guide covers getting that whole set signed by the client and countersigned by your business, with nothing missed.
Assemble the contract set
Upload every document that forms the contract into one envelope, in the order the client should read them. SignAndGo keeps PDF and Word files together, so the specification from your estimator and the drawings from your designer sit beside the agreement itself.
Name each document clearly before sending. The client sees those names as they work through the set.
Where each field goes
Signatures and dates belong on the agreement page. Initials on every page of the conditions and specification show the client saw each one. Text fields capture details only the client knows, such as their solicitor or the name the contract should be in. Use a Yes/No choice for decisions like whether they want to take out their own contract works cover.
- Signature and date: the agreement page, for every owner.
- Initials: each page of the conditions, specification and schedules.
- Text: owner details, and anything left blank for the client to complete.
- Yes/No: optional items the client must choose between.
Order of signing
Owners sign first, all at once if there are two of them. Your director or contracts manager countersigns last. If a quantity surveyor or estimator checks the final numbers before release, add them as an approver at the start so the client never receives a draft with an error in it.
When the client wants changes
Clients often push back on a clause or a schedule. They can decline with a reason, and you see exactly what concerns them. Revise the document and send it again. The version compare shows what changed between the two drafts, which saves both sides reading forty pages twice. A plain-language contract summary can help a client who finds the conditions heavy going.
After it is signed
Owners and your team each receive the complete set with a completion certificate. The audit trail shows who opened and signed each part, and when. File the signed contract into Xero automatically if your job costing lives there, so it is attached to the client before the first invoice goes out.
Common questions
- Can a large drawing set go in the same envelope?
- Yes. Add as many documents as the contract needs, PDF or Word.
- Can my director countersign from home?
- Yes. They receive their link once the owners have finished and sign on any device.
- Can I reuse the layout for the next job?
- Save the contract as a template with Owner and Builder roles and the fields are ready next time.
