Subcontractor document packs that come back complete.
Every new subcontractor on a job needs the same paper: the subcontract, site rules, insurance evidence, contact and payment details, and tax forms. Chasing those piece by piece takes hours. This guide shows how a head contractor can send one standard pack and get it back finished before the first day on site.
What goes in the pack
Decide on one pack per trade or per project and keep it consistent. Most head contractors include:
- The subcontract agreement or a short-form trade agreement.
- Site safety rules and an induction acknowledgement.
- A request for the current public liability insurance certificate.
- A tax rate notification for contractors, the IR330C, where you make schedular payments.
- Bank details and the contacts for invoices and site matters.
Build it once as a template
Upload the documents and save them as a template with a Subcontractor role and a Contracts Manager role. Place every field once: signature and date on the agreement, initials on each page of the site rules, text fields for the business name and IRD number, and an upload field for the insurance certificate. Mark them required.
From then on, sending a pack means picking the template, entering the subcontractor's name and email, and pressing send.
Order and checks
The subcontractor completes their part first, then your contracts manager countersigns. If your health and safety coordinator reviews uploaded certificates before anyone is approved for site, add them as an approver after the subcontractor has signed. They can decline with a reason if a certificate is out of date, and the subcontractor sees why.
Getting it back before the start date
Set automatic reminders on each pack so tradespeople who read email at night still get nudged. The envelope list shows whose pack is outstanding for each job, which gives your site manager a quick answer to the question of who is cleared to start.
Connecting it to your systems
If you run your own project system, our API and webhooks let it create packs and hear back when they are complete. Signed documents can also be filed into Xero, with each subcontractor added as a contact ready for their first invoice.
Your AI assistant can also be connected to SignAndGo, so a site manager can ask which packs on a job are still outstanding without opening the office system.
Common questions
- Can a subcontractor attach their insurance certificate?
- Yes. An upload field lets them attach the file as they complete the pack.
- Can I send the same pack to ten subcontractors?
- Send the template to each subcontractor as their own envelope, so every pack is tracked separately.
- Can the subcontractor ask about a clause first?
- Yes. They can decline with a reason, and your contracts manager sees the question before anything is signed.
