How to sign a PDF online.
Printing a PDF, signing it with a pen, scanning it and emailing it back takes longer than the signature itself. Whether you need to sign something yourself or collect signatures from other people, the whole job can happen in a browser. This guide walks through it from the moment you have the file to the moment you have the finished copy.
Start with the file you already have
Most PDFs that need signing arrive by email: a quote from a supplier, a lease renewal, a consent form from your child's school, a client engagement letter. Save the file, then upload it to a new envelope in SignAndGo. If the document began life in Word, you can upload the Word file directly and skip the export step.
An envelope can carry more than one file. If the PDF comes with a schedule or a terms sheet, add those too, so the signer works through everything from a single link.
Drop the fields onto the page
A PDF is a flat picture of a page, so the signer needs to be told where to act. Drag a signature field to the signature line, a date field beside it, and initials onto any page that asks for them. Name and text fields cover anything that needs typing, such as a company name or a reference number.
Use a tick box where the form has one, a Yes or No choice where the signer has to pick, and a file upload field if you need something attached, like a copy of a licence or a certificate.
- Signature: where the person signs.
- Initials: for pages that ask to be initialled.
- Date: filled when they sign.
- Text and name: anything typed.
- Tick box and Yes or No: choices on the form.
Signing a PDF yourself
If you are the only one who needs to sign, add yourself as the signer. You open the same signing screen anyone else would, place your signature, and the finished PDF comes back to you with its completion certificate. That gives you a tidy record of when you signed rather than an untraceable scan.
Sending it to someone else
Enter each signer's name and email address, write a short note explaining what the document is, and send. The signer gets an email with a button. They open the PDF in their browser on whatever device is closest, fill the marked fields and finish. They don't need to install anything or set up an account with us.
Where two or more people sign, decide whether it should go to them in turn or to everyone together. A supplier agreement might go to the supplier first and your manager second; a club membership form can go to all committee members at once.
What you get back
When the last signature lands, every signer receives the completed PDF by email. The envelope shows each view and signature with names, email addresses, times and IP addresses, and the document carries a verification ID that anyone can check online. If a signer never opens their email, send a reminder from the envelope.
Common questions
- Can I sign a Word document the same way?
- Yes. Upload the Word file and place fields on it just as you would on a PDF.
- Does the person signing need special software?
- No. The PDF opens in an ordinary web browser on a phone, tablet or computer.
- Can I add more than one PDF?
- Yes. Several documents can go in one envelope and are signed together.
- How do I know they have opened it?
- The envelope's status shows who has opened the document, who has signed and who is still to sign.
