E-signing for property managers.
Property managers sit between landlords and tenants, and both sides need to sign things often. A new tenancy alone can involve several tenants, a landlord and a guarantor. This guide shows how to run that paperwork through SignAndGo across a full rent roll.
Taking on a new landlord
Your management agreement and any letting authority go to the owner first. Where a property is held by a trust or company, add each trustee or director who needs to sign. Collect bank account details and insurance information with text fields, and ask for a copy of the insurance schedule with an upload field.
Signing up a flat full of tenants
Shared houses mean several tenants on one agreement. Add every tenant and choose all at once, so the agreement completes as soon as the last person signs rather than waiting on a chain. Put a guarantor after the tenants if you use one. Your tenancy agreement, the statements you attach to it and your house rules can all travel in the same envelope.
Give each tenant text fields for their phone number and emergency contact, and initials beside any special terms such as pets or garden care.
- Tenants sign at the same time, each from their own link.
- A guarantor signs once the tenants are done.
- The landlord is copied in on the completed agreement.
Inspections and condition reports
After an ingoing inspection, send the condition report to the tenants. They can read it, add comments in a text field, and sign to confirm. For routine inspection reports that landlords only need to read, send them review-only and the landlord confirms receipt, which keeps a dated record without asking for a signature.
Managing a portfolio as a team
Each property manager works in the shared workspace, with templates for the agreements your office uses. A senior manager can be added as an approver on renewals or rent reviews before they go to tenants. The envelope list shows which agreements are still waiting, and automatic reminders do the chasing.
If your trust accounting runs through Xero, signed agreements can be filed there and new owners added as contacts.
When a manager leaves or a portfolio changes hands, the envelopes stay in the workspace, so whoever takes over can open any tenancy and see who signed what and when.
Common questions
- Can tenants sign without being in the office?
- Yes. Each tenant signs from their own link on any phone, tablet or computer.
- What if a tenant disagrees with the condition report?
- They can add a note in a text field, or decline with a reason, and you see it straight away.
- Does SignAndGo provide tenancy agreement forms?
- No. You upload the agreement and attachments your office already uses.
