Choosing e-signing software for a New Zealand business.
Most e-signing tools look alike on a features page. The differences appear when you send your own documents to your own clients. This checklist groups what to test into six areas, so you can compare any shortlist on the same footing and pick the one that fits how your business works.
1. The person signing
Your clients, tenants and staff judge you by this step. Check that signers need no account, that the link opens on a phone without an app, that required fields are obvious, and that someone can decline and explain why rather than simply ignoring the email.
2. Preparing and sending
Look at the field types on offer. Beyond signature and date, you will probably want initials, text fields, tick boxes, Yes/No choices and a way to ask for an uploaded file. Check that several PDF or Word documents can travel in one envelope, and that templates can hold roles rather than names.
- Several documents in one envelope.
- Templates with signer roles.
- Signers in order or all at once.
- Approvers, review-only sending and copies.
3. The record you keep
Ask for a sample completion certificate and audit trail. It should list views and signatures with names, email addresses, times and IP addresses. A verification ID that anyone can check online saves you answering questions from the other side later. SignAndGo provides each of these with every envelope.
4. Running it as a team
If more than one person sends, you need a shared workspace, admins who can manage access and roles, and the option of two-step sign-in. Check how templates are shared and whether a person can keep one private.
5. Connections
For many New Zealand businesses the deciding connection is Xero. SignAndGo files signed documents into Xero and adds signers as contacts. If you build your own systems, look for an API and webhooks. If your team uses an AI assistant, check whether it can connect to check envelopes and send documents.
6. Help when you are stuck
Note how you get answers: written guides, an in-app assistant, and email support. Ask a question during your trial run and see how useful the reply is. Then send three real documents end to end before you decide.
Common questions
- What is the most important thing to test?
- The signer's side. Send a real document to your own phone and complete it as a client would.
- Should templates use names or roles?
- Roles, such as Client or Director. You fill in the person each time you send.
- Which connection matters most?
- For many NZ businesses it is Xero, so signed documents land with the client record.
