Collecting details with fillable fields.
A lot of paperwork is really a form: a new client's details, a staff member's bank account and emergency contact, a supplier's insurance certificate. Rather than sending a web form and then a document to sign, you can put the questions into the document and have them answered in the same sitting as the signature.
Which field for which question
SignAndGo has eight field types. Matching each question to the right one makes the document quicker to fill in and easier to read afterwards.
- Text: names, addresses, an IRD number, a bank account, a purchase order number.
- Date: a start date or the date of birth a form asks for.
- Tick box: a single confirmation, such as having read the house rules.
- Yes/No choice: questions with exactly two answers, where the signer must pick one.
- File upload: a photo ID, a certificate or a licence attached as they go.
- Signature, initials and name: the parts that show agreement.
Make the important ones required
Mark the fields you cannot do without as required, and the signer cannot finish while they are empty. That alone ends most "you forgot to fill in page two" emails. Leave optional the ones that genuinely are, such as a second phone number.
Assign each field to the right person
In an envelope with more than one signer, every field belongs to someone. The tenant fills in their details, the property manager fills in the bond reference. Because each person sees only their own fields marked, nobody types into a box meant for someone else.
Turn a paper form into a template
If you already have a PDF form, such as an IR330 or a KiwiSaver deduction form, upload it and place fields over the boxes. Save it as a template with a role for the person filling it in, and next time it is ready to send. A new starter can then complete the tax code declaration, the KiwiSaver form and the agreement in one envelope.
Reading the answers
When the envelope is complete, the answers are part of the signed document that everyone receives, with the uploaded files attached, and the audit trail shows when each person finished.
Designing a form people finish
Keep it short: ask only for what you will use. Group related questions on the same page, put the signature after the details it relates to, and use a Yes/No field rather than a typed answer where the answer is one or the other. Test the envelope on your own phone before sending it to clients, because that is where most people will fill it in.
Common questions
- Can a signer attach a file?
- Yes. Add a file upload field and they attach it while they work through the document.
- Can I force a choice between two options?
- Yes. A Yes/No field asks the signer to pick one.
- Can I reuse my own PDF form?
- Yes. Upload it, place fields over its boxes and save it as a template.
