Setting up your workspace in the first week.
The first week decides whether a new tool becomes the way your team works or another login nobody opens. This plan spreads the setup across five working days, so each step is small and the team has real envelopes moving by Friday.
Monday: decide who runs it
Pick one or two admins. They manage who is in the workspace and what each person can do. In a small accounting practice that might be the practice manager; in a property management office, the office lead. Everyone else joins with the role that fits their work.
Write down, in a line or two, what the team will send through SignAndGo first. A narrow start (say, tenancy paperwork, or new client engagement letters) beats trying to move everything at once.
Tuesday: protect the accounts
Ask everyone to turn on two-step sign-in. It adds a second check when they log in, which matters for an account that sends documents in your organisation's name.
If your team also uses ShareAndGo or BookAndGo, the same login carries across, so there is one set of details to protect rather than three.
Wednesday: build the first two templates
Choose the two documents you send most. Upload each one, place the fields against roles such as Client and Director rather than against named people, and save it as a template. Templates are shared with the workspace by default; mark one private if it is only for you.
- Signature and date where each party signs.
- Initials on pages people often dispute later.
- Text fields for details you collect, such as an IRD number.
- A Yes/No choice where the signer must pick an option.
Thursday: connect Xero and test
If you use Xero, connect your organisation so completed documents are filed for you and new signers are added as contacts. Then send each template to a colleague and to your own phone. Watch for fields that are hard to reach on a small screen, a message that reads oddly, or a signing order that sends to the wrong person first.
Friday: send for real
Send the week's genuine paperwork through the new templates. Use the envelope list to see who has opened and who has signed, and set automatic reminders on anything time-sensitive. At the end of the day, spend ten minutes as a team on what to template next.
Common questions
- How many admins should a workspace have?
- Usually one or two. Enough that someone is always available to manage access, few enough that changes are deliberate.
- Can a template be private?
- Yes. Templates are shared with the workspace unless you mark one private.
- Is two-step sign-in required?
- It is optional, and worth turning on for anyone who sends documents for your organisation.
- Do my clients need to join the workspace?
- No. Signers never need an account; they open a secure link.
