Moving your templates and contacts from another e-signing tool.
Changing e-signing tools sounds bigger than it is. Most of the effort sits in three places: the templates you rely on, the envelopes still out for signature, and the finished records you need to keep. Handle them in that order and the switch can be done between one busy week and the next.
List what you actually use
Before rebuilding anything, export or note down the templates your team sent in the last few months. Old tools collect dozens that nobody touches. If a template has not been used in a season, leave it behind. You will end up with a shorter, tidier set in the new workspace.
Rebuild templates from the source document
Templates rarely move cleanly between products, because each tool stores field positions its own way. The reliable path is to start from the original PDF or Word file, upload it to SignAndGo, and place the fields again against signer roles. It is also a chance to fix the field that was always in slightly the wrong spot.
Check each rebuilt template by sending it to yourself. Confirm the signing order, the required fields and the message before anyone else sees it.
- Start from the original file, not a signed copy.
- Name roles by function, such as Tenant or Supplier.
- Mark fields as required where gaps would cause rework.
- Decide which templates are shared and which are private.
Contacts follow your work
You do not need a contact list to send an envelope in SignAndGo: you enter each signer's name and email address as you go, and a template keeps the roles ready. If your contacts live in Xero, connecting it means new signers are added there as contacts, so your accounting records stay the single list.
Let envelopes in flight finish where they are
Do not cancel and resend documents that are already out. Let them complete in the old tool, send everything new from SignAndGo, and set a date after which the old account only holds records. Tell the team the cut-over date so nobody sends from the wrong place.
Keep the old records
Before closing the old account, download each completed document together with its certificate or audit record, and file them where your team keeps client files. From then on, SignAndGo keeps the audit trail, completion certificate and verification ID with each new envelope.
Common questions
- Can I upload my existing documents?
- Yes. Upload PDF or Word files and place the fields, then save them as templates.
- Do I need to import contacts before sending?
- No. You add each signer's name and email when you send, or connect Xero so new signers become contacts there.
- What about envelopes still out for signature?
- Let them finish in the tool they were sent from, and send new ones from SignAndGo.
