E-signing for electricians, plumbers and other trades.
A trade business runs on small pieces of paper: the customer's go-ahead before you start, the sign-off when the job is finished, the apprentice's forms, the hire agreement for the scissor lift. Most of it gets signed on a tailgate or chased by text. This guide shows how a New Zealand trade business can move that paperwork onto a link the customer opens on their own phone.
The customer's go-ahead before tools come out
Before you rewire a switchboard or replace a hot water cylinder, you want the homeowner or property manager to confirm the scope in writing. Upload your job authority as a PDF, add a signature and date for the customer, and a tick box where they confirm they have read the scope and the exclusions. Send it from the office while the van is still on the motorway, and it is usually back before you park.
When a landlord authorises work on a rental, put the tenant in as a copied person. They receive the finished document, so nobody is surprised when the crew turns up at eight in the morning.
Job completion sign-off
At the end of a job, a short completion form records what was done, any parts replaced and anything the customer should keep an eye on. Add a Yes or No choice asking whether the area was left tidy, and a text box for comments. If the customer is standing with you, they can open the link on their own phone and sign there and then.
Attach photos of the finished work with an upload field on your side of the form before it goes out, so the customer signs against the same pictures you will keep.
Apprentices and new crew
Taking on an apprentice or a labourer means an employment agreement, an IR330, a KiwiSaver form and your health and safety induction. Put the lot into one envelope so the new person works through it in a single sitting, and ask for a photo of their driver licence with an upload field. Save the pack as a template so the next hire takes minutes to send.
- Agreement with signature and date for the new hire and the owner.
- Tax and KiwiSaver forms with the details they fill in.
- Site induction with initials on each page of rules.
- Upload fields for licences and any trade tickets.
Subbies, hire gear and suppliers
When you bring in another trade for part of a job, or hire equipment for a week, the paperwork is the same shape every time. Build a template with a signer role for the other party and a role for you, and send it in order so you countersign only after they have filled in their details.
Running it from a small office
Whoever looks after the books can see every envelope's status in one list: waiting, viewed, signed or declined. Set automatic reminders so customers get a nudge without anyone ringing them. If you use Xero, signed job authorities can be filed against the customer's contact automatically, which keeps the paperwork next to the invoice it supports.
Common questions
- Does my customer need to download anything?
- No. They open the link in the browser on their phone or computer and sign there.
- Can the customer sign while I'm on site?
- Yes. Send the envelope to their email and they open it on their own phone while you wait.
- Can I keep a template for each type of job?
- Yes. Make one for a job authority, one for completion and one for new crew, and share them with your workspace.
