Handing a signed deal from sales to operations.
The moment a client signs is when work starts for someone else. In many businesses the salesperson celebrates, and the delivery team then spends a week chasing details the client already gave once. A clean handover means the signed document carries everything operations needs, and the right people are told the moment it is complete.
Decide what operations needs before sales sends
Sit down with your delivery lead and list what they ask every new client: a site contact, start date, access arrangements, billing contact, purchase order number. Then add those as fields on the agreement itself, or on a short details form in the same envelope. The client fills them in once, as part of signing, and sales never has to remember to ask.
Mark the fields operations cannot work without as required, so an envelope cannot finish with them blank.
- Site or project contact name, phone and email.
- Preferred start date and any blackout dates.
- Billing contact and purchase order number.
- Upload field for floor plans, logos or briefs.
Build the handover into the envelope
Copy in your operations inbox or the project manager on every sales envelope. They receive the completed documents the moment the last person signs, without sales forwarding anything. If someone in finance needs to check terms before the client sees them, add them as an approver at the start.
Use the same template every time
A shared template with roles for the client and your signatory keeps fields in the same place on every deal. That consistency is what lets operations trust the paperwork: they know where the start date is and that it was filled in by the client, not guessed by the salesperson.
Keep private templates for one-off proposals, and share the standard ones with the whole workspace.
When the client asks for changes
Clients sometimes decline with a note asking for different terms. Sales sees the reason straight away and can send a revised version. The AI version compare shows what changed between the two documents in plain language, which helps operations understand what was actually agreed, not only what was first offered.
Closing the loop automatically
If your business uses Xero, signed agreements can be filed automatically and the client added as a contact, so finance is ready to invoice. Teams with their own job system can use webhooks to open the project the moment the envelope is complete. Either way, the handover happens because the document finished, not because someone remembered.
Common questions
- Who in operations receives the signed agreement?
- Anyone you copy in. Add your operations inbox to the template so it is included on every deal.
- Can the client fill in delivery details while signing?
- Yes. Add text, date, choice and upload fields to the agreement or a separate form in the same envelope.
- Can we open a job in our own system when a deal is signed?
- Yes, with SignAndGo webhooks sending a notice when the envelope is complete.
