Tracking where each envelope is up to.
Sending a document is the easy half. The harder half is knowing, on a busy Thursday, which agreements are still out and who has them. SignAndGo shows the state of every envelope so you can follow up the right person instead of chasing everyone.
What the status tells you
Each envelope shows who has opened it, who has signed and who still needs to. Opening is worth watching on its own. A signer who has not opened the email after two days probably has not seen it, while a signer who opened it and stopped may have a question about the content.
For envelopes with an approver, the status also shows whether the approval step is done, so you can tell a document that is waiting on your own manager from one waiting on a client.
Working through a list of outstanding envelopes
Make a habit of reviewing outstanding envelopes at a set time, for example first thing on a Monday. Sort them mentally into three piles: not opened, opened but unsigned, and partly signed. Each pile needs a different nudge.
- Not opened: check the email address, then send a reminder.
- Opened but unsigned: a short personal note often helps, asking whether anything needs clarifying.
- Partly signed in order: the person holding it is the next signer, so follow up them alone.
Reminders, sent by you or automatically
You can send a reminder from the envelope whenever you like. For documents that routinely sit for a while, such as client engagement letters at the end of the financial year, set reminders to go out automatically instead, so the follow-up happens even when you are out of the office.
Keep reminders polite and specific. A line saying what the document is for and when you need it back does more than a generic prompt.
When someone declines
A signer can decline and give a reason. That shows on the envelope straight away, so you are not left guessing why it stalled. Read the reason, fix the document if needed, and send a fresh envelope with the correction. Often the reason is small, such as a misspelt company name or a wrong start date, and the corrected envelope comes back within the hour.
Once it is complete
A completed envelope sends the finished document and completion certificate to everyone involved. The audit trail stays with the envelope, which is where you go if anyone later asks when something was signed.
Common questions
- Can I see whether someone has opened the document?
- Yes. The envelope shows who has opened it, who has signed and who has not yet acted.
- Can reminders go out without me?
- Yes. Set automatic reminders on the envelope, or send one yourself at any time.
- What happens if a signer refuses?
- They can decline with a reason, and the envelope shows it so you can decide what to do next.
