E-signing for tourism and hospitality operators.
Cafes, restaurants, hotels, lodges, tour operators and event venues all sign a lot of paper with people who are hard to pin down: staff working different shifts, groups booking from overseas, and suppliers on the road. Here is how operators use SignAndGo to keep that paperwork moving.
Staff who start on short notice
Hospitality hires quickly, and a new barista or housekeeper may start the day after an interview. Send the employment agreement, IR330, KiwiSaver form and your house policies the moment the offer is accepted. The new starter signs on their phone between shifts, and the manager countersigns afterwards.
A template per role, such as kitchen, front of house and housekeeping, keeps each agreement right for the job.
Group bookings and functions
A wedding, conference or tour group usually needs a signed booking agreement and terms before you hold dates. Put your function agreement, menu selections and terms in one envelope. Use Yes/No choices for options like a dance floor or late finish, text fields for dietary notes and guest numbers, and a signature to confirm.
Groups booking from overseas sign from wherever they are. The link works in any browser.
- Venue hire and function agreements.
- Group tour and charter bookings.
- Accommodation block bookings for events.
Participants and activity forms
Adventure and activity operators often ask each participant to read safety information and sign an acknowledgement before the trip. Send each participant their own envelope ahead of the booking date, so the check-in desk is not handing out clipboards. Where a parent signs for a child, add the parent as the signer.
Suppliers and partners
Supply agreements with food and beverage suppliers, commission agreements with booking agents and contracts with transport operators can all go through the same workspace. If an owner or general manager approves new agreements, add them as an approver before the supplier signs.
Across several sites
Groups with more than one venue can run a shared workspace, with admins deciding who can send what. Shared templates keep every venue using the same agreements. Signed agreements can be filed into Xero automatically.
Common questions
- Can a guest sign a function agreement from overseas?
- Yes. They follow the link in the email and sign from any browser.
- Can a manager approve an agreement before staff send it?
- Yes. Add the manager as an approver at the start and the other party receives it only after approval.
- Can each venue have its own templates?
- Yes. Templates can be shared with the workspace or kept private by the manager who made them.
- Can we see which participants have signed before a trip?
- Yes. The envelope list shows who has opened and signed.
- Can a supplier send back a signed copy of their own terms?
- Upload their terms as the document, add the supplier and your manager as signers, and both receive the finished copy.
