E-signing for farms, orchards and seasonal staff.
Harvest brings a wave of new starters in a few weeks: pickers, packers, drivers and supervisors, many arriving from elsewhere in New Zealand or overseas. Getting their paperwork done before they start, on the phone they carry, saves the office from a queue of forms on the first morning.
A seasonal starter pack
Most growers send the same documents to every seasonal worker: the employment agreement, the IR330 tax code declaration, a KiwiSaver form, accommodation terms if you provide housing, and your orchard or farm rules. Put them in one envelope and save it as a template with a Worker role.
Text fields collect the IRD number, bank account and emergency contact. An upload field takes a copy of a passport or work visa where you need to sight one.
Built for phones
Seasonal staff rarely have a laptop with them. The signing link opens in a phone browser, and each field is marked so the worker moves from one to the next without hunting. If someone is unsure about a term, they can decline with a reason and your office can sort it out by phone before the season starts.
Switch on document summaries and workers can read a plain-language overview of the agreement before signing, which helps when English is not their first language.
Sending to a whole crew
Send the template to each worker as their own envelope so you can see exactly who has finished. Automatic reminders chase anyone who has not opened their pack, and the envelope list becomes your checklist for who is ready to start.
- Supervisors countersign once the worker has signed.
- Payroll is copied in on every completed pack.
- The office sees outstanding packs at a glance.
The rest of the farm's paperwork
The same workspace handles contracts with your packhouse, grazing agreements, supply agreements with buyers, and contractor agreements for spraying or harvesting machinery. Each can be its own template, shared with the managers who send them.
If the farm's accounts run through Xero, signed agreements can be filed there automatically, and new contractors added as contacts.
Managers on different blocks or properties can each send from the shared workspace, using the same templates so every block sends an identical starter pack.
Common questions
- Can a worker sign before they arrive?
- Yes. Send the pack as soon as they accept the job and they can complete it from anywhere.
- Can we collect a visa copy?
- Yes. Add an upload field to the pack and the worker attaches it while signing.
- What if a worker's phone has no reception at the orchard?
- They can open the link later from the accommodation or town, because the envelope waits until they finish.
- Can we reuse last season's pack?
- Yes. Keep it as a template and update the dates and rates when the next season begins.
