Supplier onboarding packs, sent and signed in one go.
Bringing on a new supplier usually means a details form, your terms of trade, a confidentiality undertaking, a health and safety questionnaire and proof of bank account. Sent as separate attachments, it takes weeks to come back complete. Sent as one envelope, a supplier can finish it over a coffee.
Build the pack once
List what your procurement or accounts team needs from every new supplier, then upload your own versions into one template. Order them so the supplier fills in their details first, then reads and signs the agreements.
- Supplier details form: trading name, NZBN, contact people and remittance email.
- Your terms of trade or purchasing terms.
- A confidentiality undertaking, if suppliers see your plans or commercial information.
- A health and safety questionnaire for suppliers who come on site.
- Your supplier code of conduct, acknowledged with a tick box.
Proof, not just promises
Payment fraud often starts with a changed bank account. Rather than taking bank details from an email, add an upload field for a bank-issued document confirming the account, alongside the text fields for the account number. Use further upload fields for an insurance certificate and any licences relevant to the work.
Yes or No choices make the safety questionnaire quick: does the supplier have a safety plan, do their staff hold site inductions, and so on.
Two checks inside your business
Once the supplier has signed, accounts should check the bank evidence before anyone is paid. Add an accounts team member as an approver after signing, so their check is part of the envelope's record. If a manager must approve any new supplier before the pack is even sent, add them as an approver at the start instead.
Supplier changes later
When an existing supplier wants to change bank account, send a short change form through SignAndGo with the same upload field for bank evidence and an approver from accounts. It is a much stronger control than a phone call, and the audit trail shows who requested the change and who approved it.
Into your accounts system
Connect Xero and the signed pack can be filed automatically, with the supplier's signer added as a contact. Teams with their own procurement system can use the API and webhooks to create the supplier record as soon as the pack completes.
Common questions
- Can a supplier upload a bank confirmation letter in the pack?
- Yes. Add an upload field and they attach it while completing the pack.
- Can accounts approve the pack after the supplier signs?
- Yes. Add an approver after signing and their approval becomes part of the record.
- Is this the same as sending an NDA?
- An NDA is often one part of the pack. The pack also gathers the details and evidence you need to set the supplier up.
