Signing authority inside your organisation: setting up approvers.
As a business grows, the question of who is allowed to agree to what gets harder to answer from memory. A team leader can approve a small supplier order; a large contract needs a director. This guide shows how to reflect your own sign-off rules in SignAndGo using approvers, signing order and workspace roles. The rules themselves are your organisation's to set.
Write down your sign-off rules
Before touching any settings, get the rules on one page. Many organisations call this a delegations list: which roles can sign which kinds of document, and up to what amount. A small business might keep it simple, with the owner signing anything over a set figure. A charity might require two board members on contracts.
Having it written down means the set-up in SignAndGo follows a decision rather than becoming one.
Approvers who review before signing
An approver reviews a document but doesn't sign it. Put an approver at the start of an envelope and nobody signs until they have looked it over. This suits a finance manager checking the numbers on a quote before it reaches the customer, or a practice manager reviewing an engagement letter before a client sees it.
Approvers who sign off at the end
Place the approver after the signers and they become the final check. A manager can confirm that the supplier has signed the right version before the deal is treated as done. Either way, the approval appears in the envelope's audit trail alongside the signatures.
- Before: review the document before anyone signs.
- After: confirm once all signers have finished.
- Signing order: who signs first, second and third.
Build the chain into templates
For documents that always follow the same path, such as a purchase agreement over a certain size, save a template with the approver and signer roles in the right order. Whoever sends it can't skip the review because it is part of the template. Share it with the workspace so everyone uses the same version.
Control who can send what
Workspace admins manage who can do what, so you can keep sending and template editing with the people your rules allow. Two-step sign-in on accounts adds protection for anyone who signs on the organisation's behalf. Review the set-up whenever someone joins, leaves or changes role.
When a director is away, decide in advance who covers for them, and update the relevant templates for the period rather than letting documents queue up. The envelope's status makes it easy to see anything waiting on a person who is out of the office.
Common questions
- Does an approver sign the document?
- No. An approver reviews and approves it, and that step is recorded in the audit trail.
- Can I have an approver and ordered signers together?
- Yes. Place the approver before or after the signers, and set the order the signers follow.
- Who decides our signing limits?
- Your organisation does. SignAndGo follows the set-up you choose.
