Sending a service agreement to a client.
For a cleaning company, an IT support firm or a marketing agency, the service agreement is the step between a client saying yes and the work beginning. Every day it sits unsigned is a day the job does not start. Here is how to send your own agreement and get the client's acceptance fast.
Send the agreement with the quote
Clients sign more readily when everything they are agreeing to is in one place. Put your quote or proposal, the service agreement and your standard terms in one envelope. The client reads the scope, sees the terms and signs once.
If you send ongoing service agreements, such as monthly maintenance, a schedule of service levels or response times belongs in the envelope too.
Fields that get the job moving
Ask for the information you need to start the work at the same time as the signature, so there is no second round of emails.
- A text field for the client's purchase order number.
- A text field for the on-site contact and their phone number.
- A Yes or No choice for optional extras quoted separately.
- A date field for the preferred start date.
- The client's signature, name and title on the acceptance page.
When the client has a sign-off chain
Larger clients often need someone in procurement or finance to check an agreement before the manager signs. Add that person as an approver before signing, so the agreement reaches the manager already checked. If your own director countersigns service agreements, put them last in an ordered envelope.
Following up without nagging
Set automatic reminders and SignAndGo prompts the client for you. If they have a concern, such as a clause about liability or a different payment term, they can decline with a reason, which turns a silent stall into a specific conversation. Use AI help with the covering message if you want the email to sound warm rather than formal.
From signed to started
When the client signs, you see it straight away in the envelope's status, and both sides get the finished agreement by email. Copy in your operations or scheduling team so they can book the first visit without waiting to be told. If you work in Xero, the signed agreement can be filed against the client automatically.
Developers can go a step further: webhooks can tell your job system the moment an agreement completes.
