E-signing for financial advisers.
Advice businesses run on client signatures: the agreement to engage, authorities to talk to providers, acknowledgements that a client received their advice, and application paperwork. Here is how an advice practice can send its own documents through SignAndGo and keep a tidy record per client.
Onboarding a new client
Send your client agreement together with the disclosure information you give clients and a fact-find form. Joint clients sign at the same time. Ask for an IRD number, address history and employment details with text fields, and use an upload field for payslips or identification you need to sight.
A template with a Client 1 and Client 2 role saves setting the fields up again for each household.
Authorities to deal with providers
Mortgage and insurance advisers often need a signed authority before a bank or insurer will talk to them about a client's account. Send the authority on its own, so it can be forwarded as soon as it is complete, rather than waiting for a larger pack to come back.
- Authority to obtain information from a lender or insurer.
- Authority to act on a client's KiwiSaver or investment account.
- Privacy consent forms your provider partners ask for.
Recording that advice was received
When you send a statement of advice, you usually want to know that the client has it, and sometimes that they accept it. Send it review-only and the client confirms receipt. Where you need their decision, add a Yes/No choice for each recommendation and a signature at the end.
Switch on document summaries to give clients a plain-language overview of a long advice document before they work through it.
Checks inside the practice
Practices with a supervising adviser or a quality reviewer often want a second set of eyes on documents before they reach the client. Add that person as an approver at the start. If the business countersigns, put the adviser last in the signing order.
Admins manage who can send on behalf of the practice, and two-step sign-in adds protection to each team member's account.
Finding it again at review time
At an annual review you will want last year's documents. Each envelope keeps its status, its audit trail and its completion certificate together. Connect Xero and signed engagement agreements can be filed there, with new clients added as contacts.
When a client's circumstances change and you issue a fresh agreement, the old and new envelopes sit side by side, so you can show exactly what the client agreed to at each point in the relationship.
Common questions
- Can both partners in a couple sign at once?
- Yes. Choose all at once and each receives their own link.
- Can a client check that a document hasn't changed?
- Each signed document carries a verification ID that anyone can check online.
- Can I see when a client opened the advice?
- Yes. The audit trail records each view as well as each signature.
