E-signing for event organisers.
Whether it is a weekend market, a regional A and P show, a music festival or a conference in a hotel ballroom, an event depends on dozens of agreements with people you may never meet in person. Collecting them by link means you know who is confirmed weeks out, not on the morning of bump-in.
Stallholders and food vendors
Each stallholder needs to agree to your site rules, power allocation and pack-down times, and you usually need copies of their food registration or public liability certificate. Build a stallholder template with text fields for the business name and stall size, a Yes or No choice for whether they need power, and upload fields for their certificates.
Send all vendors the same template at once. Each person gets their own envelope, and the status list shows who has replied and who needs a nudge.
Performers, speakers and MCs
A booking confirmation sets out set times, sound check, rider and cancellation terms. Send it to the act or their manager, then have your event lead countersign in order. For conference speakers, add a tick box agreeing that their session may be filmed, and a text field for their preferred introduction.
If an agent books on behalf of the artist, add the agent as an approver before the artist signs, so the terms are checked once.
Venue hire and suppliers
Marquee hire, staging, toilets, security and the venue itself each arrive with their own terms. When the supplier sends you their document, you can sign it yourself. When you set the terms, upload your own agreement and send it from SignAndGo so every supplier's copy has an audit trail and a completion certificate you can find later.
Crew and on-the-day staff
Casual crew need a short agreement, a site safety briefing and their bank and tax details. Put these into one envelope and send it a week before the event, so the crew can read the briefing properly instead of skimming it at the gate.
- A crew agreement with the hours and rate in text fields.
- A safety briefing with initials on each page.
- An IR330 and bank details for payroll.
- A tick box confirming they have read the emergency plan.
Running the paperwork across a team
A shared workspace lets your production manager, vendor coordinator and finance person each send from the same templates. Admins decide who can see which envelopes. After the event, every agreement is in one place with the date it was signed, which makes planning next year's event far easier.
Common questions
- Can a stallholder attach their certificates?
- Yes. Add an upload field and they attach the file as they sign.
- Can I send the same agreement to many vendors?
- Yes. Use one template and send an envelope to each vendor, then track them in the status list.
- What if a performer wants to change a term?
- They can decline with a reason, and you see their note straight away.
